Payments, Booking & Cancellation Policy

This Cancellation & Payment Policy explains how bookings, payments, cancellations, and missed appointments are handled for Gut Harmony Hypnotherapy sessions, including HypnoIBS® programmes and free consultations. It also outlines payment plan options, the use of stored card details, and client responsibilities. By booking a session, clients acknowledge and agree to these terms, which are designed to ensure sessions are scheduled safely, payments are managed securely, and both parties are protected.

1. Bookings & Safety

All sessions must be scheduled in advance through the official booking platform.
Clients are required to complete the intake form prior to their first session so that sessions can be tailored safely and effectively. Hypnotherapy is a complementary therapy. It is recommended that clients consult their GP or healthcare provider for any medical assessment or ongoing concerns before beginning hypnotherapy. This ensures the safety and appropriateness of the treatment.

2. Cancellation Notice

All sessions require at least 48 hours’ notice for cancellations. Notice must be communicated via email to info@gutharmonyhypnotherapy.com

3. Late Cancellations & No-Shows

Any cancellation made less than 48 hours before a scheduled session will incur a charge of £60.00 per session.
Failure to attend a scheduled session without prior notice (“no-show”) will also result in a full session charge of £116.67.

4. Payment, Confirmation & Payment Plan

Sessions are considered confirmed once payment has been processed (if prepayment is required).

Payment Plan Option: Clients may choose to pay for the program in instalments. The first payment confirms the booking, and all remaining instalment's must be paid according to the agreed schedule.

Sessions will only proceed if payments are up to date.

Charges for late cancellations or no-shows may be billed automatically or invoiced and are due within 7 days.

Payment plan instalment's remain due as scheduled even if a session is cancelled late or missed.

The program can be paid as a single payment or via a 3-part payment plan.

Payment Plan Schedule:

1st instalment: At booking, confirms the first session

2nd instalment: Before session 2

3rd instalment: Before session, 3rd Sessions will only proceed if all payments are up to date. Unless agreed before hand and confirmed in writing by Guy Harmony Hypnotherapy.

Optional extension sessions are billed separately, with the same payment and cancellation rules applied.

5. Rescheduling

Sessions may be rescheduled without penalty if notice is provided at least 48 hours in advance.
Rescheduling requests received within 48 hours of the session will be treated as a late cancellation and may incur the full session fee.

6. Confidentiality

All client communications, including cancellations, are treated confidentially. This policy does not affect statutory rights.

7. Stored Card Details

Clients may provide card details for session payments and, if applicable, to facilitate a payment plan.
By providing card details, clients authorize Gut Harmony Hypnotherapy to charge the card for scheduled sessions and any fees related to late cancellations or no-shows, in accordance with this policy.
All card details are stored securely via Stripe, a PCI-compliant payment processor. Gut Harmony Hypnotherapy does not store sensitive card information directly.
Card details will be automatically deleted once all scheduled payments are complete, ensuring client privacy.
This protects both parties by ensuring payment obligations are met while maintaining the highest standards of data security and confidentiality.
